Sponsor variability drives the need for flexible systems

Unlike more standardized environments like manufacturing or commercial biopharma, CRO quality operations are shaped by sponsor expectations.

According to the report data, that influence shows up across every core quality activity:

Document Management

  • CROs manage anywhere from 49 to 491 documents depending on study mix

  • Document retrieval times range from 1 to 10 minutes

Audit Activity

  • 1 to 12 external audits annually

  • Audit prep time ranges from 1 hour to 72 hours

Training Requirements

  • Training coverage ranges from 10% to 84% of documents annually

  • Role-based training spans 5 to 52 documents per position

Essentially, CRO quality teams are managing multiple variations of quality expectations at once, and they need quality systems that can keep up.

Training Management: Where variability becomes a bottleneck

Training is already one of the most challenging areas in quality management across the board.

For CROs, it’s where shifting expectations become most prominent, and most difficult to track and manage.

Across all sectors, more than 70% of quality teams report moderate-to-severe difficulty managing training compliance .

For CROs, that difficulty is amplified by:

  • Constantly changing study requirements

  • Sponsor-specific training expectations

  • Frequent document updates that trigger retraining

  • Wide variation in role-based training assignments

And when training is managed manually (or across disconnected systems), a few issues tend to surface quickly:

  • Delays in assigning or completing training

  • Limited visibility into who is compliant at any given time

  • Increased risk of gaps during audits

Training is where process, people, and technology meet, and even highly experienced teams feel the pressure. 

AI in CRO Quality Management: High interest, but careful adoption

Regulatory uncertainty

Validation expectations for AI in GxP environments around the world are still evolving, making teams hesitant to move too quickly.

Unclear ROI

When workflows vary from study to study, proving consistent ROI becomes more difficult.
These challenges align with broader industry findings, where 80% of quality teams report at least one barrier to AI adoption .

What high-performing CRO Quality teams do differently

Quality teams are expected to be flexible across sponsor studies, which means their quality tools should be flexible too.
